Quote-to-Cash Checklist
Quote-to-cash is the whole path from enquiry to money in the bank. Most firms lose time at the handovers between steps, so the checklist gives each handover one owner and one tick.
For the owner or finance director of a UK firm that quotes, delivers and invoices jobs
-
Walk the whole path: enquiry, quote, job, invoice, chase, paid
-
Spot the step where one person holds the process in their head
-
Take a short list of gaps into your next finance meeting
What's inside
What the two pages cover.
- 01 Enquiry: one owner for every enquiry, and a reply target in writing
- 02 Quote: scope, terms and a second pair of eyes on every figure
- 03 Job: job numbers, purchase orders and supplier bills matched before payment
- 04 Invoice: raised from the accepted quote, with the details a customer needs to pay
- 05 Chase and paid: a weekly overdue review, a place for disputes, and the job closed against the quote
Worked example
A worked example: what a late payer costs you.
The arithmetic below uses made-up round numbers. Swap in your own.
- 01 Invoice value: £12,000, on 30-day terms.
- 02 Paid on day 52. That is 52 - 30 = 22 days late.
- 03 Ten invoices like that in a quarter: 10 × £12,000 = £120,000 waiting an extra 22 days, about three weeks.
- 04 A weekly overdue review would have flagged each one by day 37 at the latest, not day 52.
An illustration with round numbers. It is not a Rogue measurement and not a client figure.

Questions before you sign up
The things people ask before clicking the button.
- What is quote-to-cash?
- The whole path a job takes from the first enquiry to payment: enquiry, quote, delivery, invoice, chasing and cash in the bank. Most firms lose time at the joins between those steps, not inside any one of them.
- Who is it for?
- Owners and finance directors of firms that quote and deliver jobs, such as construction, trades and B2B services. It is written in plain language, so you do not need to know any software.
- Do I need Xero or any particular software?
- No. The ticks are about how work is handed over, not which package you use. Where it helps, the checklist points to the guide on supplier invoices and Xero.
- Will I get spam?
- No. The PDF lands in your inbox within 60 seconds, then nothing unless you opt in. No drip campaign, no salesperson pinging you. Unsubscribe is one click and respected immediately.
- Why are you giving this away?
- We use these in client engagements every week. If you find them useful and ever decide you want help applying them, you know where to find us. If not, no obligation. We still hope they save you a meeting or two.
